When you’re tasked with putting together an event, whether for your own corporation or outside attendees, trying to pull all of the pieces together while remaining within budget is no small feat.  Between factors such as venue and catering, there is a lot that can chip away at the bottom line, and by the time it’s all said and done, there may simply not be enough left over for everything you’d like to include.

Of course, you know that a dynamic speaker who will inspire and resonate with your audience is one of, if not the, most important aspect of any professional event.  But, you are likely finding that the good ones are either difficult to book or far beyond your price range.  So, what do you do in such a situation?  Do you simply move on to another, less desirable keynote speaker?  The answer, of course, is no!  Even when you believe a speaker’s fees to be too expensive for you, there are still other means by which you may be able to negotiate the cost for a win-win.  Here are a few ideas to try:

Secure Sponsorships for Your Event

Many events utilize partnerships with sponsors in order to help offset their cost.  In turn for what they provide to the organization or event, these sponsors may want signage, access to the list of attendees, or other such benefits.  However, there are additional benefits you may be able to offer that you have not yet considered.  For instance, in exchange for your sponsor’s help in securing your preferred speaker, you may be able to arrange for the speaker to provide a workshop, merchandise, or other perk for them, thereby offsetting your cost while offering both value to the sponsor and additional exposure for the speaker.

Find Ways for Your Speaker to Add Additional Value to Your Event

If there is a speaker who you know will be great for your event but you aren’t certain that you can get the budget approved, try to find ways that they can bring added value.  You may be able to convince them to include a breakout session or to conduct a small workshop within their normal fee.  Doing so will give you the added leverage that you may need to sell your higher-ups on both your idea and the price tag.

Provide Additional Benefits for Your Keynote Speaker

If you are attempting to secure your desired keynote speaker at a reduced fee, be prepared to let them know what benefits you are willing to offer in return.  In exchange for their discount, you can offer to set up and work a merchandise booth on their behalf or to provide a video of their speech for their use, free of charge.  Additionally, you may be able to offer membership to your own organization or one that is related to their field of interest.  And, be certain to let them know there is an opportunity for future business and a continued relationship.  For most professional speakers, the importance of networking cannot be overstated.

If you’ve been tasked with hiring a keynote speaker for an upcoming event, don’t let status or fees dissuade you from going after who you want.  Try the tips above, and you may be pleasantly surprised at the results you get.
